Getting started

Overview

A project in Omnium collects everything about one job in one place: the customer, the store, partners (for example installers or craftsmen), comments, checklists, attachments, carts and orders. Each project follows the steps (statuses) set up in its project type, so everyone can see where the job stands and what to do next.

Use projects for jobs that run over time and involve several people, such as kitchen or bathroom projects, installations or claims. This guide covers how to create a project, fill in its details, move it through its steps, and handle day-to-day work like comments and orders.

Prerequisites

Before you work with projects, make sure:

  • You have access to Projects with permission to update. Creating projects requires administer access.
  • At least one project type is set up. Project types decide the steps, checklists and which tabs you see.
  • The stores (and markets, if required) you will use exist in Omnium.
  • The customer exists in Omnium, or you have the details to create them.

 


 

Step-by-Step Guide

Step 1: Find your projects

  1. Go to Projects in the main menu.
  2. Use the filters at the top to narrow the list:
    • Urgent – shows urgent projects.
    • Active only – hides completed and cancelled projects.
    • Attention required – shows projects flagged as needing attention.
    • My projects – shows projects where you are involved.
  3. Type in the Search field and press Enter to search by text.
  4. Click Advanced search to filter by project ID, project type, status, created date, customer details (name, email, phone, postal code, city), partner or tags.

Active filters appear under Selected filters. Click a filter badge to remove it.

 

 


 

Step 2: Create a project

  1. Click Create project (top right).
  2. Select a Project Type.
  3. Select a Store.
  4. Select a Market (if shown).
  5. Click Create.

The new project opens right away.

Note: The Create button stays disabled until you choose a project type. Some project types also require a store or a market before you can create the project.

 


 

Step 3: Add yourself (or a colleague) as contact person

When a project has no contact person, the left side shows The project is missing contact person.

  1. To use yourself, click Use as contact.
  2. To choose someone else, click Select contact person, pick an email from the list, then click Use as contact.

The contact person is shown in the Contact panel on the Status tab. To change it later, click the â‹® menu on the Contact panel and choose Edit or Remove.

 

Note: For most project types, the status panel and checklists only appear after a contact person is added.

 


 

Step 4: Add the customer

On the Status tab, the left column has the Customer panel.

  1. Click Select customer.
  2. Search for and select the customer.

The customer's name, email, phone and ID are shown. If the customer has other projects, a badge next to the name shows how many. Click it to see Customer projects.

To change or remove the customer, click â‹® on the Customer panel and choose Select customer, Remove customer or Go to customer.

Below the customer you can add the addresses for the project (for example delivery or installation address).

 


 

Step 6: Check the main store

The right column on the Status tab shows the Main store with its address and phone number.

  1. To change it, click ⋮ on the Main store panel → Edit.
  2. Select the new store.

If the project type uses more than one store, add them in the Additional stores panel below.

 


 

Step 7: Move the project through its steps

The Go to next step panel on the left shows the current status, its description, and the deadline if it has passed.

  1. Fill in the date if the step asks for one.
  2. Write a Comment if you want to add a note to the step change.
  3. Click the button for the next step. Buttons with an arrow to the right move the project forward. Buttons with an arrow to the left move it back.

Click Show progress bar at the top to see all steps, when each was completed, and which were skipped (Not done). Click a step in the bar to preview it.

More actions – click ⋮ on the Go to next step panel:

Cancel projectCancels the project. Choose who cancelled it (Cancelled by partner, Cancelled by customer or Canceled internally), and a cancellation code and reason if asked.
CompletedMarks the project as completed.
Project needs attention / Dismiss need for attentionFlags the project so it shows under Attention required.
Put on holdPauses the project until a date you choose.
ActivateStarts a new or on-hold project.
Send notificationsSends the notifications set up for the current step.

Some of these actions are only available if your user has access to them.

When all steps are done, enter the Project value (if shown) and click Completed to close the project.

Note: You can rename the project by clicking Project name in the same panel. Press Enter to save.

 


 

Step 8: Work through the checklists

Below the status panel you'll find:

  • Internal check list – tasks for your team for the current step.
  • Check list for partner – tasks for the partner.

Click Show to open a checklist and tick off items as you complete them.

 

 


 

Step 9: Add comments

There are three comment areas on the Status tab:

  • Customer dialogue (under the customer)
  • Partner dialogue (under the partners)
  • Internal dialogue (under the store) – only for your team

To add a comment:

  1. Click in the Add Comment field and write your message.
  2. To also send it, click the envelope icon (email) and/or the phone icon (SMS). For email you can add Cc/Bcc and a Subject.
  3. Click the paperclip icon to attach files (attachments are not sent by SMS).
  4. Choose a template from Templates if your project type has them.
  5. Click Add Comment (or Send e-mail / Send SMS).

 


 

Step 10: Use the other tabs

The tabs at the top of the project depend on how your project type is set up. The most common are:

CartsCreate a cart for the customer. Click New cart, choose a Store, and click New cart. A customer must be added first.

Purchase ordersSee purchase orders linked to the project.
AttachmentsFill in project forms and upload or download files.
ProductsAdd products to the project.
Project parts / Change ordersSplit the project into parts and record changes.
FinanceSee transactions and the project value.
Rental, Invoices, HoursShown only if enabled for your company.

Some project types also show a custom tab named after the current step, with a layout made for that step.

 

 


 

Step 11: Print, change type or delete (if needed)

Click â‹® at the top right of the project:

  • Print – choose a market and template, then click Print. Or click Click here to print using the default template.
  • Project Type – change the project's type and status. Choose the new Type and Status, decide whether to Reset the steps and Remove partner, then click Save project.
  • Go to project type – opens the project type settings.
  • Delete – deletes the project.
  • Version list and Log – see earlier versions and the history of changes.

 


 

Important Notes

  • Project types control what you see – Tabs, panels, steps, checklists and required fields all come from the project type. If something in this guide is missing, it's probably turned off for your project type.
  • Contact person first – Add a contact person before you try to move the project forward.
  • Customer before cart – You can't create a cart until a customer is added.
  • Read only – If you see a Read only banner, you can view the project but not change it.
  • On hold and attention – An orange banner shows when a project is On hold or Project requires attention. Click the × on the banner to activate the project or remove the flag.
  • Changing project type – Turning on Reset clears all step history. Leave it off to keep log info for steps with the same name.

 


 

Troubleshooting
