Overview
A campaign groups several promotions under one commercial initiative, so you can plan, run and measure them together. A promotion is the discount rule itself, such as 3 for 2 or 20% off a category. One campaign can hold many promotions, and a promotion can also run on its own without a campaign.
This guide shows how to create a campaign, link promotions, move it through its statuses, read the promotion calendar and follow performance.
Where to find it
- Orders → Promotions→ Campaigns
Before you start
- Your user role needs access to Promotions.
- Tags and campaign statuses are set up in Configurations
- The promotions you want to link should already exist, or be created as you go.
Create a campaign
A new campaign starts in the first status, Planning by default, so you can prepare it without anything going live.
- Go to Orders → Campaigns.
- Click Create.
- Fill in Name, Description, Start date and End date.
- Click Create. The campaign opens in the list.
- Open the campaign and choose Edit from the menu to add more details:
- Tags – used for filtering and for the bar colour in the calendar.
- Planning notes – internal notes shown on the campaign and in the calendar.
- Steps timeline – planned dates for each status (see Statuses and the steps timeline).
- Click Save.
Tip: Use Copy in the campaign list to start from a previous campaign.
Find a campaign
The campaign list has three tabs: Campaign list, Performance overview and Charts dashboard. In the list you can search by text, filter on start date (Start from / Start to), and use View, Copy or Delete on each row.
Link promotions to a campaign
Promotions can be linked from the campaign or from the promotion itself. The result is the same.
From the campaign
- Open the campaign.
- In the Linked promotions panel, open the menu and choose Link promotion.
- Search for the promotions you want.
- Either click the link icon on a single promotion, or tick several and click Link selected.
From the promotion
- Open the promotion and click Edit.
- Under Campaign, pick the campaign from the list.
- Enter Planned revenue for this promotion, and planning notes if needed.
- Save the promotion.
The Linked promotions panel lists each promotion with its dates, planned revenue and whether it is active. Use Edit to open it, or Remove to unlink it. Removing does not delete the promotion.
Planned figures: the campaign's planned revenue is the sum of planned revenue on its promotions. For price list promotions, or promotions with Create price list turned on, you can also enter planned volume and revenue per product on the price list.
Statuses and the steps timeline
A campaign moves forward through its statuses, either when you change the status by hand or automatically on the dates in its steps timeline. These are the defaults:
| Status | What it means |
|---|---|
| Planning | The campaign is being prepared. Targets, budgets and details can be edited. |
| Active | The campaign is live and its promotions may be running. Planning inputs are locked. |
| Completed | The campaign period has ended. Performance figures are final and read-only. |
| Archived | The campaign is no longer relevant and is hidden from default views. |
Change status by hand
- Open the campaign.
- In the Campaign details panel, click Set to … for the next status, or choose Change status from the panel menu.
- Choose whether to Run workflow:
- On: the actions set up for that status run, for example sending a notification. The dialog lists the steps that will run.
- Off: only the status changes. The dialog warns: Workflow will not run. Status change only!
- Click Update. A summary shows the result of each workflow step.
Only the statuses allowed from the current one are offered.
Plan status dates in the steps timeline
- Open the campaign and choose Edit.
- Go to the Steps timeline tab.
- Enter a planned date for each status, for example Active on the start date and Completed the day after the end date.
- Click Save.
Omnium checks regularly for steps whose date has passed and moves the campaign into that status, with its workflow. Once a step is reached, its date is replaced by the actual date.
Use the promotion calendar
The calendar shows campaigns and promotions as bars on a timeline, so you can spot overlaps and gaps at a glance. Go to Orders → Promotions → Calendar and choose the date range you want to see. The header shows months, weeks and days.
Show what you need
| Control | What it does |
|---|---|
| Campaigns / All / Promotions | Shows only campaigns, everything, or only promotions not linked to a campaign |
| Tags | Shows only campaigns and promotions with the selected tags |
| Show hidden | Reveals items with a tag set as hidden in calendar. Only shown when such tags exist. |
| Show cost price dates | Adds a bar for the cost price period, when it differs from the promotion dates |
| Show store cost price dates | Adds a bar for the store cost price period |
| Expand all / Collapse all | Opens or closes every campaign at once |
Read the bars
- A campaign is a header bar. Click the arrow on it to show its linked promotions underneath, sorted by start date.
- A promotion without a campaign is shown as its own bar.
- The bar colour comes from the item's tag. Items without a coloured tag use the default colour.
- Short bars of one or two days have no text. Hover over them to see the name and promotion type.
See the details
Click on a bar to open details card.
- Campaign: status, valid until, name, description, start and end date, number of linked promotions, tags and planning notes. Click Go to campaign to open it.
- Promotion: active or not active, campaign, type, name, valid from and until, priority, can be combined, always apply, customer club, coupon codes, markets and stores. Click Go to promotion to open it.
If a promotion card says Market not selected, the promotion will never become active. Open it and add a market.
Follow performance
Each campaign compares planned figures with actual sales from its linked promotions. Actual numbers and charts appear once the campaign has started.
On the campaign
The Time progress panel shows days elapsed and days remaining. Before the start it shows Campaign has not started yet and the number of days until start. Time progress is set against revenue progress, so you can see if the campaign is ahead of or behind plan. When it is ahead, it shows Overperforming by.
Further down, charts break revenue down by:
- day, per promotion
- hour and weekday
- promotion, in total
- store, country, sales channel and salesperson
- average order value
Across all campaigns
In Orders → Campaigns, the Performance overview tab compares planned and actual revenue across campaigns. The Charts dashboard tab shows revenue by campaign, revenue by store and the revenue trend.
Settings and access
An administrator sets up tags, statuses and access before users start planning campaigns.
| Setting | Where | What it controls |
|---|---|---|
| Tags and tag colours | Configurations → Promotions→ Tags | Tags you can put on campaigns and promotions, and their colour in the calendar |
| Hidden in calendar | Configurations → Promotions→ Tags | Tags whose items are hidden from the calendar by default |
| Campaign statuses | Configurations→ Promotions→Campaign statuses | The statuses, their order, allowed next statuses and the workflow steps that run on entry |
| Access | User roles, under Promotions | Access to campaigns, campaign planning and the campaign calendar |
Without custom statuses, Omnium uses the four defaults: Planning, Active, Completed and Archived.
Tips and troubleshooting
| Problem | Likely cause | What to do |
|---|---|---|
| A promotion is missing from the calendar | It has a hidden tag, or doesn't match the selected tag filter | Turn on Show hidden, or clear the Tags filter |
| A campaign has no arrow to expand | No promotions are linked to it | Link promotions from the campaign or the promotion |
| Planned revenue shows 0 | No planned revenue entered on the linked promotions | Enter Planned revenue on each promotion, or planned figures on its price list |
| No charts or actual figures | The campaign has not started yet | Charts appear from the start date |
| The campaign did not change status on the planned date | No date for that step in the steps timeline, or the move isn't allowed from the current status | Check the Steps timeline tab and the status setup |
| A notification was not sent on status change | Run workflow was turned off | Change status again with Run workflow on |
| A promotion card says Market not selected | The promotion has no market | Add a market to the promotion |
