Notifications for purchase orders

Notifications on purchase orders are now supported, allowing you to automate communication with suppliers. This functionality is useful when you want to ensure that specific actions such as order confirmations or updates automatically trigger email notifications based on changes in the purchase order's status.

Just like with orders, returns, and projects, you can now configure workflows and custom email templates for purchase orders, making your procurement process more efficient.

 

When to use it

  • You want to notify suppliers when a purchase order is confirmed or updated. 
  • You want internal teams to receive updates on the progress of a purchase order.
  • You want to reduce manual follow-up and ensure consistent communication throughout the procurement process.

 

Configure workflow steps

  1. Navigate to configuration → products → purchase Orders
     
  2. Navigate to the purchase order statuses tab.


     
  3. Select the status where you want a notification to be triggered. 
     
  4. Add the workflow step “Send notification” to the selected status.


     
  5. Publish your changes.


     

Create a notification template

  1. Navigate to Configuration → Notifications
     
  2. Search for or select the generic purchase order notification template.


     
  3. Click "New Notification" to create a new template.


     
  4. Define the template:
     
    • Name: Provide a clear, descriptive name.
       
    • Content: Customize the email subject and body using dynamic fields (e.g., purchase order number, supplier name).
       
    • Purchase order status: Select the status that triggers the notification.
       


       

  5. Save the template.

Unlike other notification types, purchase order notifications do not currently support custom design templates.
